Outsourcing For Maximum Success

This may sound silly, but if there’s one eye-opening thing I’ve learned since leaving my 9-to-5 last year, it’s that each day still only has 24 hours (who knew?) and I still can’t do everything myself….at least not if I want to maximize my productivity, and achieve greater (and faster) results.

I thought I’d share a list of things that I’ve been outsourcing recently, how much it costs, and where I find the contractors in hope that it will get your wheels turning on how you can get more done by getting some help.

Research and Article Writing/Re-writing:

I hired 5 writers via Odesk.com to do research and write articles for some niche sites we’re developing (more on that another day). This cost me between $1.75-$2.50 per article.  I received over 50 applications within 48 hours, despite my rather low budget that I advertised for the assignment.  My writers span multiple countries -Philippines, Canada, India, Kenya.

What I like to do is hire multiple writers and have them do a trial assignment.  This time I provided each of them with 3 articles to do and told them that the one who did the best job would get to do the remaining ~20 that need to be done.  Two out of the five writers are clearly stand outs, and if I didn’t hire five, it would’ve been difficult to figure out who would be the best fit for me (in this case “best” means solid English writing skills, quality information, speed of delivery).

WordPress Theme Customization

My undergraduate degree is in computer science and I used to be a software engineer in my early years at IBM, so I still suffer a little from “I can do that myself” or “I can figure that out by myself” disease when it comes to technical things.   The fact is that I could’ve fiddled around with PHP code on my WordPress theme for 3 or 4 hours to customize my WordPress theme to look exactly how I wanted it, or I could pay someone on oDesk $15 to do it for me while I focused on other more enjoyable activities.  I chose the later!

Graphics Development

One of my favorite places to get graphics done is Fiverr.com where you can get work done for $5.  However you should know that Fiverr.com is a crapshoot.  Sometimes what you’ll get is a complete bomb, while other times you’ll be astounded by the quality of work you received for a mere five bucks.  I’ve had 4 graphics gigs on Fiverr.com and 2 of them were a success!

Shae’s Fiverr Rule Of Thumb:  Don’t use Fiverr when the work you’re getting done is for a time-sensitive project and don’t use Fiverr if your graphics needs are rather complex. Always review feedback and portfolio before choosing someone for your gig.

Outsourcing For Your Real Estate Investing Business

All of the above activities were for our online business, but there are a number of things that you can outsource for your offline real estate investing business activities as well.  Here are some ideas:

  • Placing bandit signs (I have friends who have paid $1 per sign to have signs placed)
  • Screening seller calls (they ask the questions, record the answers, filter through the leads, and send you the ones you want to take further action on)
  • Printing letters
  • Handwriting letters and envelopes (plus stamping!)
  • Taking photographs of properties
  • Driving for dollars – looking for vacant properties or For Sale By Owners
  • Getting leads from public records

Or perhaps you need assistance with some online tasks for your real estate investing:

  • posting ads on classified ad sites (Craigslist, Backpage, etc)
  • creating squeeze pages / landing pages to collect buyer and seller leads
  • writing articles or press releases to post online
  • creating or editing videos

A useful exercise is to map out every single task that needs to be done for your business….identify all the moving parts.  Then you can begin to categorize them into activities that truly require YOU and which ones can be done by someone else (or perhaps don’t even need to be done at all!).

How To Get Help

Outside of ODesk and Fiverr, I’ve also hired both short term and longer term contractors from Guru.com and Elance.com.  However, there are other creative ways to get things done  in your business, real estate investing or otherwise.  For example, you can find a hungry (for success not food!) person who is ready to take action and wants to learn the business.  These “interns” will work for you for free in exchange for your mentorship.

By the way, don’t think that you have to be an expert to have an intern.  If you’ve been working at the business for any amount oftime, you have more experience than a person who is brand spanking new.  You will have something to offer that intern, even if it’s sharing as you’re learning together and or just serving as a motivation.

    Great tips Shae. I need to try outsourcing some articles myself. But like Bill, I suffer from the I can do it bettr myself syndrome.

      Hey Sharon, the sooner you rid yourself of that syndrome, the better! Just try it with your articles and see what happens. Maybe you would’ve done it better yourself, but you can always spend 15 minutes making it better than than 2-3 hours doing it all yourself. You have wholesale deals to focus on!

    This is a great article, Shae! Anyone can benefit from outsourcing. I was glad that the very first thing I did was outsource, so that I could get my “feet wet” with the process.

    I had someone from elance search public records for me to create a mail merge spreadsheet. It was great!

    I like your other ideas as well. As a new (again) mama, who hasn’t given up on our REI goals, constantly trying to think about what I *don’t* have to do is helpful!

    I used Fiverr and had bad luck right from the start. I requested a logo for my site and the seller sent me the logo but I had to sign up for a program I never heard of. He wouldn’t send me the logo in word, powerpoint, or JPEG, something I’m familiar with.

    So I had to cancel the order and waiting for the next seller to follow up on my request.

    I recommend you let the seller know up front – what you want, type, size, program, etc, to alleviate any issues.

    I’ve heard of oDesk but like doing things myself. Maybe one day in the future.

      Hey Tom, sorry to hear about that experience…like a said, it’s definitely a crapshoot. I think I’ve done a total of 10 gigs on fivver (not just graphics stuff) and 60% of the results came out well…I’d say 3 of them were extraordinary!

      Hey Tom,

      Fiverr is a great place to outsource a lot of work for dirt cheap, however, your experience can definitely differ from outstanding to crappy and everything in between. It’s almost like eBay and nothing is guranteed, however, if you hire people for your gigs by first checking out their feedback and stats, you will more than likely land a winner. You definitely want to work with someone with an average / or above average feedback.

    Great article.
    I know about a lot of these things but you did a great job of tying it all together.

    The idea of mapping out everything for the business is a great idea. I KNOW that there are things I could outsource but it isn’t focused enough to make it as productive as it could be.

    Also with a limited budget getting the most bang at first is critical, then once the benefits are tangible it is easier to justify expanding!

      Thanks Shaun and yes I agree 100% with your closing statement….you do what you can with what you have. I think it becomes even that much more important to be laser focused in your efforts when you’re doing everything yourself….gotta be hypercritical about your activities and which ones you should be doing (vs. not doing at all).

      Although…even when we HAVE the available budget to outsource, we often shy away from it though because we think we need to do it all. I think that’s what we (including myself) have to be careful about. Gotta get out of our own way for growth’s sake.

    Great stuff, Shae. I didn’t even know about half of these sites. I too was a software developer and I still suffer from spending hours making coding changes. Actually wasted 2 hours today trying to get a label and input field to line up. Was ready to throw my computer out the window and into the pool.

    Another outsourcing idea for investors is to have someone view bank owned properties for you. Have a checklist for them to go through to make sure you know a lot about the house and have them take pictures or video of everything. Then you can just make conservative offers and when the banks counter (they will always counter) close to what you are wanting it for, you can then go and view the property yourself and verify before continuing negotiations.

    Totally agree on Fiverr! I went through 3 different people to get something halfway decent – but $15 is a lot better than $50+

    I couldn’t agree with you more Shae… Outsourcing is definitely frees you up to concentrate on the “art of the deal” and increase your productivity and profits. It was very challenging for me to do this in the past because I am so knowledgable in various areas and always felt no one could do it to my standards.

    Yet, I began to discover that I was losing out big time by attempting to be the “Jack of all Trades and the Master of None” (as the old adage goes), but in my head I felt that I was the master of them all, of course. lol.

    Though I have loosened my grip and began to outsource much more than I use to, this is an area that I admit I can still work on some more. :-)

    Hi Shae! I have heard of these services but have been unable to bring myself to trust what they can do for me. But with only 24 hours in each day and how quickly those hours can burn, I think I really need to take a closer look at trying some of these out.

      Hi Bill! Try it…you’ll like it :-) Ask yourself this…what’s the worst that can happen if the person doesn’t do a fantastic job? Usually, it’s not that bad. Get your feet wet by outsourcing a task that you feel is really low risk…and just do a trial run and see what happens.

      If a contractor isn’t good, you simply fire them and move on.

      Once you find someone who is good, you’ll wonder how (and why) you went so long without getting help! Trust me on that one ;-)
